Privacy policy

This policy explains what information Jobs for Mums collects, how we use it, and the choices you have. If anything here isn’t clear, ask us — we would rather explain it than have you guess.
1. Information we collect
We collect information you provide when you create an account, apply for a job, or contact us. This may include your name, email address, phone number, CV, and other details you choose to share.
We also collect information automatically when you use our platform, such as your IP address, browser type, device details, and how you interact with our website and services.
2. How we use your information
We use your information to run the platform: to match you with roles, to prepare and send applications you have approved, to support you, and to improve how the service works.
3. Artificial intelligence and automated processing
Jobs for Mums uses artificial intelligence to do the work the service promises: reading your CV, drafting and tailoring applications, matching you to roles, powering the interview practice and career coaching, and summarising the answers referees give.
To do that, the relevant information is sent to providers who process it on our behalf, outside New Zealand. Depending on the feature that can include your CV and work history, the answers you write in an application, what you say to the interview coach, and the responses your referees give to a reference check.
The AI itself is Anthropic. If you use the spoken interview practice, the call is handled by Bland.ai and transcribed by Deepgram, and the call is recorded so the transcript can be produced and summarised. We also use Supabase to store your data, Resend to send email, Twilio for text messages and calls, and Stripe to take payment if you subscribe.
Anthropic processes this information to return a result to us, and under the API terms we use it is not used to train their models.
An AI draft is a draft. Nothing is sent to an employer on your behalf until you have read it and approved it, and no hiring decision on this platform is made by AI alone — an employer decides who to interview and who to hire.
If you would rather not use the AI features, you can use the free job board, browse and apply yourself without them. If you want to know what has been processed about you, ask us and we will tell you.
4. Information sharing and disclosure
- We may share your information with service providers who help us operate the platform.
- We require service providers to protect your information and only use it to provide services to us.
- We share information with employers when you apply for a job or ask us to make contact.
- We may share information with third parties where required by law, to protect our rights, or to prevent harm.
- We may disclose information in response to a court order, subpoena, or other lawful request, and will tell you where we are permitted to.
- Anything you choose to make public may be seen by other users, and removing it may not remove it from search-engine caches or archived copies.
5. Data retention
We keep personal data for as long as we need it to provide the service, meet legal obligations, and resolve disputes. Some information is kept longer for audit, security and fraud prevention.
When you delete your account we remove or de-identify your personal data where we can, though some data may remain in backups or be retained as the law requires.
6. Cookies and tracking
We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the platform is used.
7. Your privacy rights
You can ask for a copy of the personal information we hold about you, and ask us to correct or delete it. You can object to processing for direct marketing.
We will respond within a reasonable time. We may need to verify your identity or ask you to clarify a request first.
8. Data security
We take reasonable steps to protect personal information against loss, unauthorised access, use, modification or disclosure.
Data is encrypted in transit and at rest, access is limited to people who need it, and we will notify affected people and the Privacy Commissioner where a breach requires it.
9. Children
Our services are not intended for children under 16. If you believe we hold personal information about a child, contact us and we will take appropriate action.
If you are a parent or guardian, you can contact us to request access to, correction of, or deletion of your child's information. We may ask you to verify that you are authorised to act for them.
10. International data transfers
Some of the providers we use store or process data outside New Zealand. Where that happens we take steps to ensure the information remains protected to a standard comparable to the Privacy Act 2020.
11. Third-party links
The platform links to websites and services we do not operate — including employers' own application systems. We are not responsible for their privacy practices, and we encourage you to read their policies before sharing information with them.
12. Updates to this policy
We may update this policy. Where a change is significant we will tell you before it takes effect, and the date at the top of this page will always show when it was last revised.
